Well, I just thought you would be a great person to have when I start on this topic. And that's what I'm doing today is just mentioning about marketing automations. Now, don't let your eyes glaze over just yet, hold on one second here. Marketing Automation is not a new trend, but it is a growing one. And I looked up some statistics. And actually, more than 50% of companies are now using marketing automation. And we're gonna touch on just an initial item that you can automate in your business. And the reason Mike is here is because this is something that you've recently done that I'm going to get into. And I've worked with Mike at Lloyds in regards to his own marketing. And we had conversations for how long about some types of automation?

so long that I just kind of gave up and said, Okay, let's do it. too long.

Is that what you'd say nail too long, okay. And a lot of times, that's what I find is, it's not only saying, hey, you should do this, what would this give back to a person? What can you gain out of implementing something like this in your business? And today, we're going to talk a little bit about online booking. And I've done a previous episode that touched on some of this. But I know this has been successful for you. And this is fairly recent, you've been doing. So you've had you have automated your bridal appointment, or wedding appointment bookings. Am I saying that right? That's correct. Okay. And in order in order to do that, there is a link that's on a button on your website for them to click on that to book an appointment with you. That is correct. So will you tell me a little bit about before you automated this, how it worked for you?

Okay, so before we had this, I would I take all book, all of my appointments, personally, I do not let my sales staff do it. And what would happen is they would call, I would be working on weddings, I'd be busy, whatever they would say, Mike, you got a call, somebody wants to make an appointment? Well, then I would stop what I was doing, and book the appointment. I wouldn't let them do it. Basically what they would do if I wasn't available, they would put them in my voicemail, and I'd have to take time to recall them back and then book the appointment. It's totally different now. I mean, I wish I would have done it four years ago.

So on a weekly basis, honestly, how much time do you think this saves you?

Michael Gaddie  4:18  
Oh, at least I would say at least five hours because I'm gonna say at least an hour a day. Well, and I and it could be more than that.

I think one of the things that you mentioned to me is you're not haggled. That's the first word that came to mind about well, I can't meet on this day or that day, they are seeing your availability. You're not on the phone going that well. What about this date? What about this date?

Well, I would do that constantly. And you know, sometimes that one phone call would turn into two or three phone calls because the mom would call me and say well, let me see my daughter works this day and I work this day, and it was like a struggle. So now all I do is say hey, just go to my website, click on make an appointment, and they Consider at home and not waste my time not saying they're wasting my time, but taking my time and book the point when it's available for them or best for them

or that from the user end, it's actually more convenient for them. Because if they have two or three people they've got to coordinate with, they're actually seeing the availability. They don't have to call back and say, Okay, well, I found out my mother in law is not available that date, I need another day, right. And I think people are so hesitant, especially with marketing technology in general, to make a change, because they've done it this, it just it was

it is what it is, and it works and you don't want to change, and I'm all one of those people. I don't like change. But when you do, and you know, it's gonna make your life easier. I praise you for that, because I finally did it,

you finally took the step? Well, it's because I got to know your business and knew if you could save some time somewhere else, it would make your life easier. And a lot of times, that's what people are after, is a process or a system. But most of the time, if you just start with one little piece, and you see that, oh, this does save me five hours a week. Well, if I can do this, maybe I can take the next step.

Well, let me say this. If I get somebody on the phone before I had this utensil here that we're using, and that they say, Mike, can I meet on Thursday night? Can I meet on Wednesday night or Wednesday afternoon? Always broke the ice and said, Sure, I don't want to tell you. I gave in because you know, that took up more of my time. And since I have doing I think I've been doing this for three or four months now has it been out? Yes. And I'm not kidding. I do not have a week because I have two days designated for appointments. And that's Monday and Tuesdays two to eight.

And here you heard any flack,

I have never heard any bad things about it. Matter of fact, people love it. Because you haven't, you know, incorporated into the form that they fill out, I get that form back, I've already got their contract filled out and make that to another less step that we have to we can spend more time on talking about flowers, and not me gathering their information. But it frees me up the rest of the week of every week, knowing that I have just Monday and Tuesday is available.

The we'll talk about a couple of things with that. So the first step was having a button that people could book online appointments. And automating that process and taking it out of phone calls, emails back and forth that then the second part of that was, okay, I use a Google Calendar. And I need to make sure I don't already have something on that date. And the software that we use makes it very easy. It will go out check your calendar, it syncs that for you automatically. You don't have to do anything once you connect your calendar. It's there, that there's step two, step three, to dive in a little deeper is the message that they get after scheduling the appointment? What do you need of them? What do you want them to do? Is it nothing? Just a thank you your appointments booked? Or is it your appointments booked? Now I need you to do this to help save you a step down the road. The last step in the piece is your reminders. So it's really you can start with just one step. Or you can do all five steps. And it even eliminates more. And this is why I wanted to have you on as a guest when I started talking about this because when people think marketing automation, they are thinking funnels and drip campaigns and stuff that's out of their realm that if something goes wrong, or they're not sure how to start it, if something they start it and something happens, they don't know how to fix it. It can be as simple as online booking of appointments.

Well, when we first started, like you said, I was concerned that, you know, maybe I'm booked that weekend, or the weekend and they choose and this program is so simple. You get an email when they when someone books an appointment and I go in and approve it. They show us the day proven you can approve it or decline. So I mean, it's

i think is how its worded is reschedule well

on mine, it actually says reschedule. So if I wanted to go in and say I'm sorry, I'm not available that day. Something's come up. I haven't used that option yet. But you could reschedule or you can decline and that you will decline it and you'll come out and say sorry, I'm already booked for this day. I'm not taking anymore, whatever it may be,

but it also gives them the option to reschedule right then yeah, not just sorry, I'm booked. Just leave it you're actually they're encouraged to actually pick another date and time.

It's It's It's It's, it's been amazing. I cannot say enough good things about it. And even my wife, Pam, she said, Mike, that is not going to work for you. You are too anal to have to work with the and I'm not kidding. I've got her train now. Yeah, just go to Lloyd's, florists dotnet, and click on wedding and book your appointment right there. So I mean, I've even got my staff trained to say, hey, go there, that

sounds your staff train sounds better than your wife being trained. Let that one slide. I know that well in that it, what it has given you back. It allows you to do stuff instead of it being a Friday. Now you've got five extra hours in that week. Honestly, it's not even just the time I feel like it's also the stress or anxiety of there's 10 messages in my voicemail. Now. I've got to sit here for two hours and call them back and coordinate.

You're exactly right. And that's usually what I did. And I'll be honest with you, I very seldom have a message in my voicemail now, unless it's a broad, saying, Hey, Mike, I need to change this, or can I add on this? That's different. But for some 90% of my calls come in and want to book appointments?

Well, it's worked so well for you, you added a second option. So not only is that your initial ones. But now when they want to if they're an existing client, and they need to schedule something for changes, additions or whatever,

then that makes it so much easier to and when you get that email notification, it tells you that it's existing, broad or initial broad.

Well, and when we set that up, we sat down and went through step by step, what dates what times do you want to make available? Does it need to check your calendar? How what padding needs to be in between appointments? Like do you need 15 minutes in between? Do you need 30 minutes? How soon? Do you want to let a person booked today for tomorrow? Or is that too soon? There's so many parameters you get to customize. So when I think people when they think online booking Well, they're just can go in and pick an appointment. And now it's going to be I got to do that appointment because they want to, it's not like that it a lot of this stuff can be completely customized to a person's specific needs. So

Pacific, it makes your life so much easier. One thing that I really like about it is 90% of the people when I talked to them before I had this program, is they always wanted to do it on a Friday or Saturday. Well, in my business, there is no way possible that I can do an appointment on a Friday or Saturday. And you they understand but you know, you explain to them, Hey, I can't do appointment on Brian's here, I've got eight or nine weddings, and I wouldn't want the day of your wedding, I wouldn't want me sitting down with another bride to pull up, you know, get information from them. So I want to make sure that you've got your time for me to do your wedding. This way. None of that conversation is even taking place anymore. They know that I'm available two to eight on Monday and Tuesday. And that's it and there's no questions asked. It's very, very easy.

And it doesn't take long for you to see when you go in there that, Oh, you don't have an appointment for two months, I need to go ahead and get my stuff scheduled, or however long it is a month, two months

and that they're booked two to three, easily two to three weeks out. But there has not been a Monday or a Tuesday since I have had this. But I have not had a wedding appointment between two and eight every weekend, which is every week, which is what I wanted, right? Now keep in mind too that say for an example, some people and this is what I was hesitant about. Some people say well, maybe I don't want to work on that Monday, maybe some I'm going to be out of town, you can go in there and program it in advance and I went through the whole year. And I'll reprobed those days when I'm when I'm on vacation, and so on. So that date is never available for to book appointments with.

And it's as simple as blocking yourself out in your calendar, your Google calendar on your phone. Yeah, and it works. There are many different software's out there that you can research. The one that I'm talking about, I'll put a link in the show notes for that I personally have used for four or five years. But I've recently set up a couple people that were very hesitant as you were. And because you know one of them used several calendars. They didn't just use one calendar, they use several online calendars. And that was something that we had to go in and plug in for different calendars. But the system is smart enough. It can work for you. It just has to know what you want it to do. And that's why I wanted to take before I dive a lot into marketing automation, is I've always said I wanted these episodes to be something that you could easily implement in your business. And I think by starting here, this is something that every wedding professional deals with appointments if you don't deal with them, Okay, great, but a lot of them do and the time of food and energy, it can save you, by you setting out the days and times that are available. You're also setting boundaries and expectations, which I just did an entire episode on. Because so many people say to me, Oh, I can't, I can't get it under control, like, I'm just being pulled in so many different directions. This is, this is a system that does that for you almost, it pushes you to have some boundaries.

And the boundaries that I have set for myself even talking to you over the last few months, I mean, has been, it's, it's made my life 100% better. And thank you, and and, you know, three or four months ago, I would have never thought that I thought it would be more complicated. And it's so much more easier. Now. I just recommend it to anyone.

Yeah, and the message out there for wedding professionals is Yes, I'm a business coach and a marketing coach. And I am a co owner of a marketing agency where we do done for you services. But a lot of times, I guess you could say I'm the kind of similar to a wedding planner, you know, from, I want to help guide a person, I don't have to do everything for a person, I may just be somebody that you need to bounce ideas off of. You need expert guidance, what systems what technology, what programs will work for you. Or if you want to use online booking, you're not sure how to set it up. More More times than not a collaborative effort on any of your systems, processes, or marketing is going to provide you the best results. And I think that's sometimes when I hear from people, they're like, I didn't know, I could just schedule a consultation or schedule a coaching session. And since I've been putting that out there more I'm hearing what you've just said, is how it's made a difference not only in their business, helping them with some of this technology. And they just been a little not afraid, but hesitant, because it's change. Because they know they can call me, um, I'm going to help them if some problem comes up with it, I'm going to be there to get them through it, change how it is adjusted to someone customize it to their needs. That's what I want people to know is, if you can't do it yourself, I can help you, or you can reach out to others out there. But I work with people all over and I genuinely enjoy helping people realize, Wow, there is a streamlined process that really can make a difference.

Well, one other thing that I want to mention out of this program, is I would have brides not show up for appointments. And you know, I've designate you know, designate this whole day to have one appointment after another every hour. And then if somebody doesn't show up, well, then then I'm kind of lost there. So I'm gonna wait for the next one, or say to didn't show up, then I've got to dar law there. Since I have been with this program, not one time has somebody not shown up because of the reminder reminders that go out

and you're not having to manually

I don't have anything. I don't do anything with that that

automatically? Well, because you get busy. And the next thing you know, I didn't send out my reminders.

So I mean, it's a wonderful all the way around.

Yes. So this is just the start to marketing automation, I will probably break this down into a few different episodes. Because this is what I don't want to have happen. And I say this when I meet in person or by zoom with people when I'm coaching, it's important to understand the process. But if you are so overwhelmed, much like wedding planning, you get so much overwhelmed, your eyes glaze over and you check out it doesn't matter what somebody's saying, or what they're trying to help you with, or, or what they're saying is a great tool to have in your toolbox. So that's why I want to break it down, kind of walk through it. The way things are now with software and technology. Almost everything can be automated. Now, disclaimer, I'm not saying it should be. I'm just saying it can be. But that's not a fit for everyone. So we'll walk through this and phases. Just keep your mind open to the words marketing automation is not something brand new. It's something more people are embracing. It's I don't want you to think of it as cash. It's just something else I gotta add I just something else I got to tackle once it's set up. It honestly As Mike has mentioned, in his own business can give you back time, which is something we can't get back. That's exactly right. But also just making things easier to run your business. That was a little bit more familiar topic.

A well known name in the event industry, Michael Gaddie, is a proud member of AIFD (American Institute of Floral Designers – an International organization). After starting his floral career in 1989, Michael went to work for Lloyd’s Florist, a full service floral shop offering décor and gifts. Michael and his wife, Pam, purchased the business in 2000. He has been bringing the bling to weddings and other events for over 30 years. Having enjoyed a very successful career in the floral industry, Michael has been the recipient of several awards over the years, highlights of which include… Kentucky Designer of the Year and 2020 Sweepstakes Award in the Rose Parade, where he has been a designer for 20 years. Although best known for his creativity and eye for design, what most love about Michael is his huge heart, ridiculous sense of humor and over the top work ethic. Michael and his wife Pam are also an elite partner of Jim’s formal wear in Louisville, Ky.

Michael is currently the president of the Louisville Wedding Network, Past-President of Kentucky Florist Association and has held many other offices in professional organizations including Past-President of Teleflora Kentucky Derby Unit and Past-President of Southern Retail Florist Association.

Michael has been married to his bride, Pam for 30 years and has an awesome son, Ryan Michael. They also have 3 cats: Lucy, Rosie and Derby.
